Executive/Personal AssistantThe Executive/Personal Assistant performs administrative functions for the CEO of the company, primarily organizing the Executive’s personal and professional schedule.
They will also serve as a receptionist for our recently redeveloped Northern Liberties office and perform various office managerial tasks. The Assistant will report directly to the CEO.
$65,000-$80,000 based on experience along with a generous benefits package including medical/dental and PTO.
ies and Responsibilities:
- Coordinates executive communication, including answering phone calls, responding to emails, greeting and interfacing with visitors- Manages travel itineraries by booking transportation and accommodations- Responsible for processing invoices and budgetary matters concerning office management; will report to COO on these matters- Serves as house manager for CEO- Provides general administrative support by photocopying, faxing, scanning, filing and retrieving documents, records and reports- Maintains an organized filing system of paper and electronic documents- Maintains various records in spreadsheets/databases and produce reports requiring data compilation and analysis- Arranges corporate events and outings as necessary- Upholds a strict level of confidentiality- Generates reports, memos, letters and other documents using word relevant computer software- Reads and analyzes incoming memos, submissions and reports to determine their significance and plan their distribution- Participates in a wide variety of special projects and compile a variety of special reports- Serves as a receptionist by greeting and directing visitors to the company, answering telephones and directing the caller to the appropriate associate, and transferring a caller to an associate’s voice mailbox when the associate is unavailable- Receives, sorts, distributes and posts all mail and packages- Communicates with co-workers, management, clients and others in a courteous and professional manner- Conforms with and abides by all regulations, policies, work procedures and instructions- Performs other duties as assigned
- Exceptional written and oral communication skills- Proficiency in Microsoft Office, especially Word and Excel- Friendly and self-motivated with a positive attitude and a drive to succeed- Bachelor’s Degree required- Minimum of 5+ years of experience as an Executive Assistant- Must have reliable form of transportation and live within a 30-minute commute to our office in the Northern Liberties neighborhood of PhiladelphiaContact firstname.lastname@example.org to inquire further about this position.
